Job Description

RESPONSIBILITIES

What you’ll do

Campaign administration

  • Maintain campaign trackers and timelines
  • Update task lists and delivery status
  • Organise client and project folders
  • Maintain naming conventions and file archives
  • Collect links, assets and campaign deliverables
  • Prepare meeting notes and action lists

Creator and talent administration

  • Maintain our creator/model/talent database
  • Update contact information, rates and availability
  • Send briefs and collect confirmations
  • Follow up on outstanding content
  • Track content approvals and posting dates
  • Collect live links/screenshots once content is published
  • Maintain usage-rights and deliverables records

Finance and supplier administration

  • Request quotations from suppliers
  • Organise quotations and invoices
  • Maintain PO/payment trackers
  • Follow up internally on outstanding paperwork
  • Maintain vendor information
  • Flag payments that are approaching due dates

Reporting support

  • Collect campaign results from platforms
  • Populate reporting templates
  • Organise screenshots, links and performance data
  • Prepare the first draft of campaign reports

What we’re looking for

  • 1-3 years’ experience in agency administration, project coordination, marketing operations or similar
  • Extremely organised
  • Strong Excel/Google Sheets skills
  • Very good written English
  • Comfortable following up repeatedly and politely
  • Excellent attention to detail
  • Comfortable managing lots of small tasks simultaneously
  • Reliable and proactive
  • Able to work independently
