Overview: This individual will serve as a key partner to department leadership, manage complex schedules, coordinate events and meetings, oversee communications, and ensure smooth office operations. This is an excellent opportunity for a highly organized professional who enjoys working in a fast-paced environment, supporting multiple leaders, and managing projects from concept through completion.

Key Responsibilities:

  • Provide executive-level administrative support to senior leadership
  • Manage complex calendars, scheduling, and meeting logistics
  • Coordinate leadership meetings, prepare agendas, and distribute materials
  • Draft correspondence, reports, presentations, and meeting minutes
  • Serve as a primary point of contact for internal and external stakeholders
  • Manage and monitor shared departmental communications and requests
  • Coordinate office operations and administrative processes
  • Plan and execute meetings, workshops, and special events
  • Manage vendor communication, invitations, registrations, and event logistics
  • Track invoices and assist with budget-related administrative activities
  • Assist with departmental communications, newsletters, and announcements
  • Maintain departmental resources and online content platforms
  • Support special projects and initiatives as assigned
  • Ensure deadlines are met and projects remain on track

Requirements

  • 3-5+ years of executive support, administrative coordination, or office management experience preferred
  • Experience supporting senior leaders or executive-level stakeholders
  • Experience with SharePoint or similar content management systems preferred
  • Strong organizational and project coordination skills
  • Exceptional written and verbal communication abilities
  • Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams
  • Strong attention to detail and problem-solving skills
  • Professional, proactive, and customer-service-oriented approach
  • Ability to manage multiple priorities simultaneously
