Job Description
This role provides administrative support to the Business Operations Team, ensuring the efficient management of incoming communications, accurate data entry, timely report submissions, and exceptional customer services throughout the restoration process.
Working within the fast-paced disaster recovery environment, the Restoration Administration Officer must be able to effectively manage competing demands, adapt to changing priorities, and respond to urgent situations as they arise, while maintaining a high standard of accuracy and professionalism.
Key Responsibilities
• Answer and manage all inbound telephone enquiries in a professional and courteous manner.
• Receive, assess and appropriately direct incoming calls and enquiries.
• Monitor and manage the administrative email inbox, ensuring all correspondence is actioned or allocated promptly.
• Respond to general client, insurer, supplier and stakeholder queries.
• Escalate urgent matters to the appropriate team member or manager.
• Maintain a professional and customer-focused approach in all interactions.
• Monitor insurer portals and client management systems for new tasks, updates and requests.
• Ensure communications are completed accurately and within required service timeframes.
• Assist in maintaining positive relationships with insurers, clients and stakeholders.
• Perform accurate and timely data entry into company systems.
• Upload documentation, photographs and reports into job management platforms.
• Submit reports and job documentation following preparation and quality assurance review by the Restoration Manager.
• Maintain electronic job files and documentation records.
• Support workflow coordination and general office activities.
• Contribute to process improvement initiatives where appropriate.
• Monitor office supply levels and consumables.
• Advise management when stock levels are becoming low.
• Assist with the organisation and presentation of office facilities.
• Support the maintenance of a clean, organised and professional workplace environment.
• Work collaboratively with Management, Technicians and Administrative Team.
• Participate in team meetings and training activities.
• Demonstrate a willingness to learn and develop industry knowledge.
• Escalate any client escalations to the Restoration Manager to review and address following company protocols.
• Assist with processing general administrative tasks as directed by Management.
• Provide after-hours phone support on a rotating basis during catastrophic events, ensuring timely action on emails.
Skills, Experience & Other Requirements
• Strong verbal and written communication skills.
• Excellent customer service skills.
• Basic computer literacy, including Microsoft Outlook, Word and Excel.
• Good organisational and time management skills.
• High level of attention to detail.
• Ability to follow instructions and established and changing processes.
• Positive attitude and willingness to learn.
• Professional presentation and telephone manner.
• Ability to manage multiple priorities and deadlines.
• Ability to work autonomously and part of a team.
• Valuing accountability and being highly responsible.
• Hold a current Working with Children Check, or the ability to obtain one.
• Police Clearance, or the ability to obtain one.
