About the role

As an Administration Assistant, you will play a pivotal role in supporting the smooth operation of our programs and services. This role involves handling a variety of administrative tasks, including data entry, managing participant intake processes, and providing HR assistance. The ideal candidate will be organised, proactive, and have a passion for working in the disability sector.

Key responsibilities

  • Data Entry: Accurately input and manage data related to clients, staff, and programs.
  • First Point of Contact: Respond to and manage emails and phone calls, addressing inquiries and directing them to appropriate personnel.
  • Managing Intake: Oversee the intake process for new participants, including initial paperwork and scheduling/rostering.
  • Intake Paperwork: Monitor and manage intake paperwork, ensuring all documentation is completed accurately and within required timelines.
  • Rostering: Assist with creating and managing staff rosters to ensure optimal coverage for programs. Approval of timesheets.
  • Correspondence Management: Handle and organise correspondence related to participants and staff.
  • HR Assistance: Support recruitment, onboarding, and compliance activities, including the employment of staff for programs.
  • Networking/Marketing: attend networking events and support digital marketing
  • Property Maintenance: Assist with coordinating maintenance for properties.
  • Assist with Support Work and or After Hours Oncall if requierd

About you

  • Experience in compliance or HR functions, with a strong understanding of employment laws and regulations.
  • Previous experience with the National Disability Insurance Agency (NDIA) is preferred but not essential.
  • Proficiency in data entry and administrative tasks.
  • Strong organisational and time-management skills.
  • Excellent communication skills, both verbal and written.
  • Ability to handle sensitive information with confidentiality and discretion.
  • Proficient in using office software and management systems.
  • Relevant qualifications or certifications in administration, HR, or disability services are advantageous.
  • Experience in a similar administrative role, particularly within the disability or health sector, is beneficial.
